Volunteer Receptionist

OVERALL ROLE

To provide a polite, efficient, and professional Reception environment for the Deafness Resource Centre, and to provide general administrative support to all other departments, ensuring a high and consistent standard of support for the whole staff team.

  1. Answer the telephone, direct calls, take and relay accurate messages.
  2. Manage cover of Reception, including the transfer of calls, staffing, and management of the answer-phone.
  3. Deal with customer enquiries in a polite and professional manner via telephone, one to one, and written communication
  4. Deal with all queries, with due consideration for each client’s needs
  5. Provide accurate information about all the services at the Deafness Resource Centre
  6. Greet visitors, offer refreshments and and direct them to the correct area, following signing in procedures.
  7. Receive incoming post, deliveries, faxes, emails, and texts, and deal with them in the appropriate manner
  8. Ensure the knowledge of constant staff movements in and out of the Centre
  9. Assist in the upkeep of the Centre’s diary
  10. Maintain Reception and other public areas in a clean and tidy manner
  11. Manage the use of consumables including refreshments and stationery, and re-stock when necessary.
  12. Support the organisation and delivery of events and meetings by ensuring rooms are booked and set up, and catering / refreshments are arranged as required
  13. Take responsibility for the administration of training services delivered by the DRC, including promotion and marketing, enrolment, and liaison with external agencies including the tutor

Other

  1. Maintain accurate information to support monitoring and evaluation procedures
  2. Act within the policies and procedures laid down by the organisation, particularly Health & Safety and Equal Opportunities
  3. Participate in learning and development opportunities to achieve full potential within the role
  4. Undertake any duty within the scope of the role, as requested by your line manager/Chief Officer
